Who we are

BloomOS Coaching ("BloomOS", "we", "us") is owned and operated by Jacinta Maree Crough (trading as BloomOS Coaching) in Queensland, Australia. We provide a coaching platform used by coaches and their clients, and we are the data controller for the personal information described here. We handle personal information in line with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles.

Where a coach uses BloomOS with their own clients, the coach decides what information is collected about those clients. BloomOS stores and protects it on the coach's behalf.

What we collect

  • Account details: name, email address, password (stored encrypted, never in readable form).
  • Practice details a coach chooses to add: practice name, discipline, philosophy, contact email.
  • Coaching records: client names, goals, commitments, session notes, reflections, completed practice experiences and progress.
  • Business records: leads, offers, proposals and invoices created by the coach.
  • Technical information needed to run the service securely, such as sign-in times.

Coaching notes can be sensitive. Only add what is necessary, and only with the client's knowledge.

How we use it

To provide the platform: to show a coach their practice, to show a client their own journey, to send check-ins and reminders a coach approves, and to keep the service secure and working.

We do not sell personal information. We do not use client coaching records for advertising.

Who can see it

  • A coach can only see records belonging to their own practice.
  • A client can only see their own journey, goals, actions and reflections.
  • No other coach or client can access your records. This is enforced at the database level.
  • Our service providers and subprocessors (secure cloud hosting, email delivery, support tooling) access data only as needed to run the service.
  • Paddle.com, our Merchant of Record, receives the details needed to sell our subscriptions, manage billing, meet tax obligations and issue invoices.
  • Professional advisers (legal, accounting) and authorities where the law requires it.

Where it is stored

Data is stored with reputable cloud infrastructure providers and may be held or backed up outside Australia. We take reasonable steps to ensure overseas recipients handle personal information consistently with the Australian Privacy Principles.

How long we keep it

We keep coaching records for as long as the account is active, and for as long as needed to meet legal and tax obligations (generally up to seven years for financial records). You can ask us to delete records sooner where we are not required to keep them.

Your rights

You can access, correct, download or ask us to delete the personal information we hold about you. Clients can do this from the Privacy page in their portal; coaches can do it from their account settings, or by contacting us.

Security and data breaches

Access requires a password, and passwords are checked against known-breached password lists. Every record is tied to its owner and access rules are enforced by the database, not just the screen. Data is encrypted in transit.

If a data breach occurs that is likely to cause serious harm, we will notify affected people and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.

Coaching is not therapy

BloomOS supports coaching, not medical, psychological or crisis care. If you or a client need urgent help, contact a qualified professional or, in Australia, Lifeline on 13 11 14 or 000 in an emergency.

Contact us

Questions, corrections or complaints: hello@bloomoscoach.life. We respond within 30 days. If you are not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
